               Criminal Background Check (CBC) Process for Events & Venues
Requirements¹
CBCs are required for the event and volunteer workers at the following venues:
- Wharton Center for Performing Arts (effective 8/1/15)
- MSU Auditorium (effective 8/1/15)
- Eli and Edythe Broad Art Museum (effective 8/1/15)
- MSU Museum (effective 8/1/15)
- Planetarium (effective 8/1/15)
Procedure
Event/Venue Coordinator Responsibilities:
- Informs program volunteers and/or workers that a criminal background check is required for all individuals who will be in the designated venues.
- Completes Section 1 of the University Events and Venues Criminal Background Check (CBC) Authorization Form.
- Instructs program volunteers and/or workers to complete Section 2 of the Event/Venue Criminal Background Check (CBC) Authorization Form.
- Collects and submits completed and signed Event/Venue Program Criminal Background Check (CBC) Authorization Forms by batch to MSU HR a minimum of ten (10) business days before the start of the Event/Venue annual year.
- Program coordinators are encouraged to submit authorization forms for more volunteers and event workers than needed just in case some individuals are ineligible to volunteer or work for the Event/Venue Program. Doing this will ensure adequate coverage.
 
- Submits Event/Venue Program CBC Authorization Forms in any of the following ways:

MSU HR Responsibilities:
- Conducts CBC using the following tools:
 - Michigan Internet Criminal History Access Tool (ICHAT).
- Michigan Department of Corrections' Offender Tracking Information System (OTIS).
- National Sex Offender Public Website (NSOPW).
 
- Reviews CBC results and assesses eligibility.
- Notifies individuals who do not have satisfactory CBC results and provides opportunity for explanation/clarification before a final decision regarding eligibility is made. If individuals are deemed ineligible, a formal decision letter will be sent to the address provided on the authorization form.
- Provides a list of Event/Venue Program volunteers and/or workers and their eligibility status.
 
- Enters Event/Venue Program volunteer or worker data into MSU HR database and retains original forms.
